Pipelines allow you to execute strategies based on lead stage changes. Define custom stages for your sales process and trigger automations when leads move between them.


How It Works

  1. Build a pipeline with custom stages
  2. Create a strategy with a Pipeline trigger
  3. Configure which stage transitions trigger the strategy
  4. Leads moving between stages automatically execute the workflow

Setting Up Pipelines

Step 1: Build Your Pipeline

Navigate to https://dashboard.bookedin.ai/pipelines to create your pipeline with custom stages.

Define stages that match your sales process:

Step 2: Create a Pipeline Strategy

Create a strategy with a Pipeline trigger. Configure which stage transitions should trigger the workflow.

  • From Stage — The stage the lead is moving from
  • To Stage — The stage the lead is moving to

You can trigger on any stage transition, like “New Lead → Contacted” or “Qualified → Meeting Scheduled”.


Controlling Pipeline Updates

Use the Pipeline Update action node in your strategies to automatically move leads between stages based on their actions.

For example:

  • Move lead to “Meeting Scheduled” when they book an appointment
  • Move lead to “Qualified” when they meet certain criteria
  • Move lead to “Closed Won” when the objective is met

Best Practices

Keep your pipeline stages simple and aligned with your actual sales process.

  • Define clear stage criteria — Know what qualifies a lead for each stage
  • Automate stage transitions — Use strategy actions to update stages automatically
  • Track stage duration — Monitor how long leads stay in each stage
  • Use conditional logic — Branch workflows based on lead data or behavior
